Set-up guide: Courses, Classes & Events businesses

Whether you offer courses, classes or events, this guide will walk you through the set-up process involved for your business type. Follow these step-by-step instructions to set up your account and learn about some useful tools and features recommended for you.

Before starting the set-up process, you’ll need to make sure your business settings have been configured correctly for your business type. Click the Gear icon () and then go to Settings > Business to view your settings.

  • Tick Classes and Courses if you have Courses that run over multiple days, and your customers can book onto the entire multi-day session in a single booking.

  • Tick Events if you have either:

- Single events such as a one-off charity event

- Regular events such as a weekly zumba session. 

Set up your Event Groups
Event Groups are categories that you can use to organise your events. You can either use the default groups provided or create your own to suit the needs of your business. An example could be Morning Sessions, Afternoon Sessions, Eveni ng Sessions or Sporting Events/Concerts.

To set these up, go to Configure > Event Settings > Groups then press Create New. You’ll be able to choose a name, description and more.

Set up your Courses (if applicable)
To set up your courses, go to Configure > Event Settings > Courses. Then press Create New.

Set up Single Events (if applicable)
If you have the occasional event, you can set these up by going to Configure > Event Settings > Single Events and pressing Create New.

Set up Regular Events (if applicable)
If you offer regular events, such as a monthly social event or weekly class, you can get these set up by going to Configure > Event Setting > Regular Events and pressing Create New.

After you have pressed Create New, you will see the Event Details page, where you will be able to configure the settings of your events.

Add a title, a description, and give it an Event Group to belong to.

In the Date and Time section, you will want edit the following settings:

  • Courses – you can select which days of the week the course runs on

  • Single Events – you can select the date of the event

  • Regular Events – you can select what date your regular event starts

Under Dates, chose an appropriate repeating time period (for courses and regular events). You can choose from daily, weekly, monthly, weekdays only, weekends only, or if your course runs on specific days, you can select the days of the week independently.

  • Once you have done this, choose your Start Time and Duration.
  •  Under Pricing you will be able to configure the cost, how many spaces are available, the maximum bookings per person and the minimum time in advance your customers can book.

Complex Tickets
You can set up complex tickets where prices can be varied for children, adults and group discounts.

Wait Lists
This feature allows your customers to join a waiting list if the class or event is fully booked.

You can require customers to pay a deposit before their booking. This can be useful to help prevent and compensate for no-shows, last minute cancellations and even damages to equipment.

If you have similar style events or courses, you can set up templates of your configuration preferences to make the process of creating a new class/event quicker.

Allow booking on to a course after it has started
After a course has started, you can allow your customers to book onto any remaining course sessions.

Change the number of spaces available on one particular course
You’re able to edit the number of spaces available for a single course session.

Ticket Types
You can select another ticket type other than ‘Generic’ if you would like to allow customers to book more than one ticket/space onto your class, course or event.
